Standing Committee & Special Committee Chairperson Descriptions of Responsibilities
Communications Chair
* create a monthly newsletter (template provided)
* maintain content on the PTSA webpage on the RHS website
* coordinate all PTSA social media
* email school administration, PTSA executive committee, and committee chair
* attend PTSA meetings to provide communication updates
Membership and Write A Check Donations Chair
* edit parent/guardian & teacher/staff membership forms and Write A Check form
* collect membership paperwork and dues
* input members info into Memberhub website
* gives dues to Treasurer for deposit
* collect Write a Check donations and give to Treasurer for deposit
* attend PTSA meetings to provide membership updates
Restaurant Social Chair
Responsibilities include arranging and scheduling restaurant socials throughout the school year
Secures dates with local restaurants for fundraising opportunities
Create communication/flyer for approval and distribution
Email the Communications Chair and PTSA President/V.P. and request to have the flyer emailed to members and RHS parents, added it to the website and posted it via social media
Follow up with the restaurant after the event to collect check
Report on the event at following PTSA meetings
Reflections Chair
* in early September, contact Pond PTA chair and edit Reflections flyer to include RHS - Pond Rd. PTA chair takes care of setting submission deadline and coordinating submissions with judges; record scoring and qualifying submissions for next levels and celebrating student achievement perhaps with an Awards Night
* email the Communications Chair and PTSA President/V.P. and request to have the flyer emailed to RHS parents, added it to the website and posted it via social media
* post flyer on school bulletin board in office, in visible locations around the school and provide for morning announcements
Class of 2026 (senior class) Red Carpet PLANNING Chair
* plan and hold Red Carpet/Post Prom meetings
* attend PTSA meetings to provide updates
Red Carpet
* email principal to reserve the RHS Commons and gym for the day of the prom
* develop sub-chairs for decorations (flowers, backdrop, balloons, etc) and set up/clean up
* arrange for security
* request funds for payments from Treasurer
Post Prom (TBD)
* confirm with principal the date of prom
* contact venue for post prom to secure the date and have Treasurer make payments
* work closely with Senior Advisors; provide them with information for (invitation, permission slip, etc) and collect permission slips and announcement sheets
* contact Chaz MaTazz for tuxedo rental program and arrange pickup
* arrange approximately 10 volunteers for the Post Prom venue
Class of 2027 (junior class) Red Carpet FUNDRAISING Chair
* over the summer, secure a date for Designer Handbag Bingo
* plan and hold Red Carpet/Post Prom fundraising meetings
* secure 4 sub-chairs to assist in raising money across the 4 established fundraisers (Handbag Bingo, Write-A-Check, Raffles and/or Tricky-Tray Basket Raffle)
* develop an advertising chair for Designer Handbag Bingo/Basket Raffles
* oversee the 4 sub-chairs and advertising chair
* attend PTSA meetings to provide updates on fundraising efforts
New Students Welcome
*During summer, Chair will meet with committee to coordinate items included in the welcome packet for the incoming Freshman class
*Packets may include basic school supplies (folder, notebook, pen, etc.) and information regarding PTSA membership, fundraising campaigns and spirit wear
*Coordinate with the EC to obtain the copies/papers necessary to include in the folders
*Volunteers will collate and assemble the packets
*Committee members shall attend the Freshman Academy dates (in August) to greet the Freshman class and distribute the packets
“One Smart Cookie”
*Prior to midterms (held end of January) the committee shall discuss giveaways for the student body who are testing on half-days
*Committee will execute the giveaway (i.e. labeling of giveaway items and purchasing/packaging of food)
*Committee members shall attend PSAT day at the high school and distribute items
Scholarship Criteria Chair
* update & submit applications to guidance
* receive applications from seniors
* work with PTSA Membership Chair to determine applicant’s status
* coordinate judges to read essays & conduct interviews
* submit scholarship recipient’s names to PTSA and guidance
Senior Graduation Lawn Sign Chair
* create lawn sign flyer (template provided)
* email flyer to administration for approval and then email it to the Senior Advisors
* email the Communications Chair and PTSA President/ V.P. to have the flyer emailed to parents of seniors, add it to the website and post it via social media
* optional- create a google form (template provided) for online ordering
* collect checks & order forms from Corresponding Secretary and online payments (optional)
* order lawn signs
* contact facilities department and set up day & time to distribute lawn signs
Teacher & Staff Appreciation Week/Luncheon Chair
*determine when Teacher Appreciation Week is in May and secure a date and location for luncheon by checking with Dr. Rossi-Mumpower (assistant principal)
*order food and supplies for luncheon (see binder); request donations for the week; secure volunteers
*in March, email information for basket donations to the Communications Chair for the April newsletter
*in April, email information for the basket donations to the Communications Chair and PTSA President/ V.P. and request information emailed to RHS parents
*email the invite to the luncheon to the Communications Chair and PTSA President/ V.P. and request invite be sent to RHS teachers, staff and the board office staff
*secure volunteers to help with serving & clean up & delegate jobs
*Request donations for raffle baskets and gifts; pick winners of baskets & have office announce them throughout the day
*Day of Luncheon: set up room in morning, refill utensils, paper products & food; serve food to staff
Sweet Summer Sendoff
